What we collect

When you run the fit check we store your answers to the eleven questions, which are recorded as fixed choices rather than free text. If you go on to see your result we also store your first name, work email and company, the fact that you agreed to be emailed and contacted, and the time you agreed. Alongside that we keep the page you started from, the referring URL and any campaign parameters in the link you arrived through.

We do not ask for a phone number, and we do not ask you to upload a savings tracker or any spend data anywhere on this website. If a pilot goes ahead, we agree the scope and the security steps with you before any file is shared.

We also record how you first reached ProcSave: the page you landed on, the website or search engine that sent you, and any campaign labels in the link. This is kept in your own browser from your first visit and attached to your record only if you choose to complete the fit check. We store the sending website’s name, never the full address of the page you came from, so a search you typed is not part of it.

The free calculator

The savings calculator runs entirely in your browser. The prices, quantities, costs and approved values you type are never sent to us. There is no form submission behind it, nothing is written into the page address, and nothing is kept once you close the tab. Copying or printing the summary happens on your own machine too.

We do record that a calculation happened and the shape it took: whether it was a price reduction or a cost avoidance, which baseline method and currency you chose, whether a Finance-approved value was entered at all, and which review flags the tool raised. None of those carry a number you typed, and the evidence checklist is not recorded at all. If we ever switch session replay on, every calculator field is masked and the results are excluded from the recording.

Confirming your email

After you complete the fit check we send one link to the address you gave us. Until you use it, your request is unconfirmed and we do not send you anything else. The link works once, expires after 24 hours, and is replaced if you run the check again. We store only a one-way fingerprint of it, so nobody with access to our database could use it to confirm an address on your behalf.

We do this so that nobody can add your address to our list by typing it into our form, and so we only ever email people who asked us to.

Why we collect it

To generate the result you asked for, to judge whether an early pilot would actually help your team, to improve ProcSave, and to contact you about early access. We do not sell it, share it with advertisers, or add you to a marketing list you did not ask for.

Where it is stored

In a managed PostgreSQL database provided by Neon, reachable only by our server. Your browser never holds a database credential. The website is hosted on Vercel, and your result email is delivered through Resend, which also receives your name, email and company in order to send it.

Analytics

Product analytics runs only if you accept it, and nothing is loaded until you do. Declining is a real choice: the fit check and everything else on the site work exactly the same either way.

When it is on we record page views and a small set of interaction events, including which question of the fit check you reached and which choice you picked, plus the channel that brought you to us. Every event is checked against a fixed list of permitted fields before it is sent, and your name, email, company and the address of your employer are not on it. Events are tied to a random identifier created in your browser, never to your email. Session recording and automatic click capture are switched off, and the address of the page you are on is stripped of its query string before anything is recorded.

How long we keep it

Until you ask us to delete it, or until the early-access programme closes and the record is no longer useful.
